Build YOUR career! Family Continuity is seeking an Office Manager to work in our Lawrence office. The Office Manager serves as a support to the Senior Administration Team providing a variety of scheduling, clerical and administrative support needs. Primary job responsibilities include: Overall administrative support to the Senior Administration Team (SAT), such as documenting meeting notes or minute taking, answering phone inquiries, directing calls, scheduling and coordination of administrative activities. Organize, manage and track donor lists, donations, Family Support Fund, Dirhui Mattian fund, etc. Organize, manage, and maintain email distribution lists, including Constant Contact. Administrative support to the CEO and the Agency Board of Directors, including distribution of materials, attending meetings, development of minutes and updating filings with the Secretary of State. Maintain, coordinate, and update agency newsletter, website and social media accounts. Processing of Accounts Payables for the SAT. Support for the CEO in Fund Development and Public Relations activities. Prepare reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings Plan, organize and implement events such as meetings, business luncheons or dinners. May help plan agency events or special projects Ordering business cards/letterhead/envelopes Work with administration and programs to develop and maintain agency brand and consistency in brochures, business cards, and advertisements Troubleshooting and consulting with others when needed Other projects as assigned Work on special projects to enhance administrative operations as assigned including organization of proposals for new business, grants, etc. Help set up systems and overseeing office operations Reception and management of calls and emails received through the agency toll-free Information Line and Website : Organize and manage projects under the supervision of the Director of HR. Manage schedules as requested. Work with others as a team member and contributor. Write and/or contribute to a variety of assignments including agency descriptive and public relations material, proposals, policies, newsletter, website and social media sites. Collaborate and problem-solve with staff members and others from within and outside of the agency including other departments (i.e. Finance, HR, IT, Site/Program Directors) and agencies (i.e. funders, collaborator agencies, community groups.) Have proficiency in use of all current Microsoft Office products including Word, Excel and Outlook and PowerPoint. Demonstrate a professional demeanor at all times. Demonstrate strong verbal and written communication skills. Maintain the highest level of confidentiality. Manage own time and work independently Judgement: Position requires the individual to maintain the highest level of confidentiality, exhibit flexibility and independence of work performance and demonstrate organizational skills and patience in the face of a changing and challenging work environment and varied work responsibilities.
