Reports to:     Advancement Data Manager

Summary: Responsible for database and alumni file maintenance, queries, and reports for St. Paul's School Office of Advancement. 

Essential Duties and Responsibilities:

  • Responsible for maintaining our database, Raiser’s Edge including:
    • Add and maintain constituent records and constituent information;
    • Perform address changes and update attributes and constituent codes;
    • Update relationships and salutations for constituents, including deceased;
    • Update constituent biographical information, business information, and education information, such as student graduation press releases, student activities, schools attended, employment history, occupation, etc.
  • Research constituent contact information, relationships, employment, education, obituaries, and other details for Raiser’s Edge entry using a variety of online and printed sources;
  • Maintain all manner of constituency codes, solicit codes, notes and attributes relating to a constituent’s relationship with St. Paul’s School.
  • Coordinate import and export of constituent data with IT and the advancement data manager
  • Create and perform other queries and reports;
  • Work with IT and the advancement data manager to promote efficiencies in data maintenance and mailings;
  • Perform other related assignments as needed.

Cross Training and Collaboration

  • Work in collaboration with the gift records administrator and the advancement data manager to cross train job functions to ensure continuity of business processes.

 Supervisory responsibilities: None.

Qualification requirements:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Three to five years’ experience in a similar role
  • Two to four years’ experience using a constituent relationship management system
  • One to three years’ experience using an online content management system
  • Ability to communicate clearly with teammates and senior management
  • Ability to collaborate across organizational boundaries on multiple simultaneous projects

Additional desired qualifications:

  • Associate’s or Undergraduate degree preferred
  • Raiser’s Edge database experience preferred
  • Philanthropic mindset, committed to the spirit of fundraising and charitable giving
  • Interest in and passion for creative problem solving, new ideas, and new ways of doing things
  • Proven success achieving goals and delivering results
  • Proven organizational, follow-through, and follow-up skills
  • Strong interpersonal skills when working with colleagues and external constituents
  • High level of proficiency with Excel
  • Utmost discretion with regard to donor personal information
